The Situation
This UK e-commerce retailer had a team of staff spending 4-5 hours every single day on tasks that should never require a human. The errors were becoming a serious problem. Overselling happened regularly because the spreadsheet was always slightly out of date. Customers would order a product that was actually out of stock and receive an embarrassing cancellation email hours later. Trust was being damaged and refunds were eating into margins.
Customer expectations had also changed. Same-day order confirmations were now standard. This retailer was sending confirmations 2-3 hours after purchase because someone had to manually process each one. In a competitive market, that delay was costing them repeat customers.

Our Solution
We built an n8n workflow that connects the retailer's POS system directly to their CRM. The moment an order is placed, the workflow fires instantly — inventory numbers update in real time, a branded confirmation email reaches the customer within 30 seconds and the internal team receives a notification.
A low stock monitoring system runs continuously in the background. When any product drops below a set threshold, the relevant team member is notified immediately with reorder details. Every evening a daily summary report is generated automatically showing orders, revenue and current stock levels.
Staff now handle exceptions, customer relationships and growth strategy. The system handles the routine.
